Privacy Policy
Last updated: 19 October 2026
Calibre Pacific helps organisations rethink how they compete, operate and grow. Doing that well starts with handling information carefully, including our own. This policy explains what personal information we collect, why, who we share it with, and the choices you have.
“Calibre Pacific”, “we” and “us” means Calibre Pacific, Inc., a corporation registered with the Philippine Securities and Exchange Commission (SEC Registration No. 2026060256686-60), with its registered office in Makati City, Metro Manila. We work with clients in Australia and across Asia-Pacific. We follow the Philippines Data Privacy Act of 2012 and, for people and organisations in Australia, the Australian Privacy Principles.
1. What we collect
When you contact us. Through the forms on calibrepacific.com we collect your name, work email, company, role or job title, and what you tell us about your business and what you’d like help with. Some forms also ask for a phone or WhatsApp number. Form submissions are stored in our CRM (HighLevel) and sent to our business email.
When you use the Enquiry Desk demonstration. The chat on our Enquiry Desk demonstration page asks for your name and phone number, then records the conversation and the details you give (such as postcode, property type and whether you own the property). Sunrise Solar Australia is a fictional business, and the demonstration is run by Calibre Pacific. Please use test details rather than your real phone number or email.
When we reach out to you. To find organisations we may be able to help, we collect business contact details (such as name, role, company, work email and business phone) from public sources, including company websites and professional networks. We only contact people about matters relevant to their role.
When you browse our site. We use Google Analytics to understand how the site is used. It sets cookies and collects information such as pages visited, approximate location, device and browser type, and how you arrived at the site. It does not tell us who you are. Our chat provider and our security check (Cloudflare) may also set cookies they need to work.
When we work together. If you become a client, we collect the business contact details and project information needed to deliver the work. How we handle your organisation’s own data inside a project is set out in our client agreement.
We don’t ask for sensitive personal information (such as health, religious, government ID or financial account details). Please don’t share it with us through our forms or chat.
2. Why we use it
We use personal information to:
- respond to your enquiry and arrange a conversation you asked for;
- contact organisations about services relevant to their business, with an easy way to opt out;
- run and improve our website and the Enquiry Desk demonstration;
- deliver and manage work for clients; and
- meet our legal and accounting obligations.
We will not sell your personal information.
3. How the Enquiry Desk demonstration works, including AI and automation
The demonstration chat is answered by an AI assistant, not a person. It replies using a large language model, works only from approved information, and says so if you ask.
Automated workflows then record your details in our customer relationship management (CRM) system. They tag the enquiry (for example, whether the postcode is in the demonstration service area) and alert a member of our team when an enquiry is handed over. These steps sort and route enquiries. They don’t make decisions that significantly affect your rights or interests, and a person reviews every handed-over enquiry.
4. Who we share it with
We use trusted service providers to run our business. They handle personal information on our behalf, and only for that purpose:
| Provider | What they do | Where data may be held |
|---|---|---|
| HighLevel (LeadConnector) | CRM for website enquiries, the Enquiry Desk demonstration and our business outreach; forms, chat and automated workflows | United States |
| OpenAI (through HighLevel) | Generates the demonstration assistant’s replies | United States |
| Google (Analytics) | Website usage statistics | United States and other countries |
| Cloudflare | Security check that keeps automated spam out of the chat | Global network |
| Hostinger | Website hosting and business email, including enquiry form submissions | Data centres used by our hosting plan |
We may also disclose personal information where the law requires it, or with your consent.
Transfers outside your country. Calibre Pacific is based in the Philippines. If you are in Australia or elsewhere, your personal information will be handled in the Philippines. It is also likely to be processed in the United States, and in other countries where the providers above operate. We take reasonable steps to make sure every recipient protects it to the standard of this policy, the Data Privacy Act and the Australian Privacy Principles.
5. How we keep it secure
We limit access to the people who need it, use providers with established security practices, and keep each client’s data separate. No system is completely secure. If a breach is likely to cause you serious harm, we will notify you and the relevant regulator as the law requires.
6. How long we keep it
- Enquiry Desk demonstration conversations and details: deleted automatically 90 days after the chat.
- Enquiries and outreach contacts that don’t lead to work: kept for up to 2 years, then deleted. Sooner if you ask.
- Client records: kept for as long as the law and our client agreements require.
7. Your choices and rights
You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. You can ask us to stop contacting you at any time: reply “unsubscribe” or “stop”, use the opt-out link in our emails, or email us. Every business email we send identifies Calibre Pacific and includes a way to opt out. You can decline Google Analytics cookies through your browser settings or Google’s opt-out tool.
Under the Philippines Data Privacy Act, you have the right to be informed, to object, to access, to correct, to erasure or blocking, to data portability, to claim damages, and to lodge a complaint with the National Privacy Commission.
We respond to requests within 30 days. We may need to confirm your identity first.
