Brief Explainer

What Are AI Automation Services?

01What it is

It’s More Than Buying an AI Tool. It’s Putting AI to Work in Your Business.

AI automation services design, build and run software that completes business tasks with AI: reading messages and documents, deciding the next step and acting in your systems.

02How it connects

The work covers choosing the process, integrating your CRM, accounting and inbox, setting guardrails and measuring the result, then running the automation in production after go-live, not just building it.

03Customer Enquiry Example
  1. Receive a customer email in the shared inbox.System
  2. Read the request and work out what the customer needs.AI
  3. Look up the customer and job in your CRM.System
  4. Draft a reply with the details filled in.AI
  5. Send routine replies and log them against the record.System
  6. Route complaints and refunds to a person.Human

The result is automation that keeps working after launch, with a named owner and the number reported against your baseline.

02
Rethinking the Problem

The Goal Isn’t More Automation. It’s Better Business Performance.

Most businesses start with the tools: which systems to connect, which tasks to automate, which platform to buy.

The real issue isn’t a lack of AI, Automations, or necessarily the technology. It’s the gap between implementing AI and creating measurable business value.

Nearly 9 in 10 organisations use AI. Yet only 37% report a positive EBIT impact.

McKinsey, 2026

A poorly designed process can create three problems:

  1. Inefficiency scales. You automate the problem, not the solution.
  2. Costs compound. More volume can mean more errors and complexity.
  3. Value gets lost. Time, margin and capacity remain out of reach.

That’s why we start with the process, not the technology. We identify where value is being lost and prioritise the opportunities with the strongest commercial return.

Your AI Readiness Assessment Provides You With:
  • A ranked list of processes by commercial value and feasibility.
  • The one number your first automation should move, with today’s baseline.
  • A scoped estimate and a clear go/no-go decision.
03
The Opportunity

Your People Should Be Focused on Work
That Moves Your Business Forward.

As businesses grow, operational complexity grows with them.

More customers mean more enquiries, more documents, more transactions, more follow-ups, and more coordination between teams and systems.

Much of this work is necessary. But not all of it requires a person to perform every step manually.

Your team may be spending valuable time on:

  1. Manually entering information across multiple systems.
  2. Reviewing documents and extracting relevant data.
  3. Responding to repetitive customer enquiries.
  4. Qualifying leads and coordinating follow-ups.
  5. Chasing approvals, information, and outstanding tasks.
  6. Reconciling records and preparing reports.
  7. Moving work between departments and software platforms.

Individually, these activities may seem manageable. Collectively, they create operating costs, delays, administrative bottlenecks, and constraints on growth.

The opportunity is not simply to do the same work faster. It is to redesign how that work gets done.

04
The Solution

Where AI Automation Creates Value

AI automation puts AI to work inside the processes your business already runs.

It connects the systems a process already runs through, such as your CRM, accounting software and inbox, then uses AI to read inputs, decide the next step and act, so a repeatable process runs from start to finish.

The work covers
  1. 01Choosing the process
  2. 02Integrating your systems
  3. 03Setting guardrails
  4. 04Measuring the result
  5. 05Running it in production after go-live

The Difference

Traditional Automation vs AI Automation

From Rule-Based Automation to Intelligent Execution.

Traditional automation is effective for predictable, structured tasks. AI automation extends those capabilities to processes involving documents, language, variable inputs, and decisions within defined parameters.

Traditional automation
AI Automation
01Logic
Follows predefined rules
Interprets information and applies defined decision logic
02Data
Works best with structured data
Can process structured and unstructured information
03Scope
Automates individual tasks
Coordinates multi-step workflows
04Inputs
Requires predictable inputs
Can handle a wider range of input variations
05Exceptions
Often stops when an exception occurs
Can classify exceptions and route them for review
06Context
Primarily executes instructions
Can interpret context and determine the next permitted action

The distinction is not that AI removes the need for rules or people. It expands what can be automated, while introducing the controls needed to operate reliably.

05
The Business Value

Where AI Automation Changes the Economics of Your Business

Two capabilities are now reliable enough to run in production, with the right guardrails.

01 · SPEED

Respond before your competitor does.

An agent reads an enquiry, checks the CRM, drafts a quote and books the follow-up, acting across your systems. Next: one agent covering after-hours enquiries across several brands or regions without extra staff.

MetricResponse time, typically from hours to minutes

02 · ACCURACY

Get paid faster, with fewer errors.

LLM document extraction turns invoices, application forms and compliance certificates into structured data before anyone opens them. Next: variances flagged against the purchase order before payment runs.

MetricsMinutes per document and error rate

The commercial question is simple:

What would it mean for your business if repetitive work took less time, processes moved faster, and your existing team could handle more volume?

That is the value we aim to quantify before recommending an automation.

06
The Financial Case

How Much Is Manual Work Really Costing You?

A few minutes of repetitive work can add up to thousands of dollars in annual operating costs. Calculate the cost of manual processing in your business.

Illustrative example only

3 people on the process × $90,000 fully loaded cost per person = $270,000 a year.

If repetitive, manual work takes up 25% of their week, that equates to $67,500 a year—around 28 hours of work every week, based on a 38-hour week.

That’s the potential cost of repetitive work in just one process, before accounting for delays, errors, or the opportunity cost of time your team could spend on higher-value work.

Put your own numbers into the calculator below to see what manual work could be costing your business.

Risks & Considerations

Five Mistakes That Sink AI Automation Projects

  1. Starting without a baseline. Without today’s figure, nobody can prove the result. Gartner predicts over 40% of agentic AI projects will be cancelled by the end of 2027, citing escalating costs, unclear business value and inadequate risk controls (Gartner, June 2025). The fixMeasure first.
  2. Pricing the happy path only. Quotes cover clean cases; exception handling and staff review time are the hidden costs. The fixAsk for the exception rate.
  3. Ignoring data readiness. Gartner predicts organisations will abandon 60% of AI projects unsupported by AI-ready data through 2026 (Gartner, February 2025). The fixScore data before choosing the process.
  4. Underestimating fees at volume. Per-task fees that look trivial in a pilot multiply in production. The fixModel costs at three times current volume.
  5. Leaving nobody to own it. An upstream API changes and the automation fails quietly. The fixName an owner before go-live.

Intelligent Automation Use Cases

What Can AI Automate in a Business?

AI automation for business works best on high-volume, rules-heavy tasks across customer-facing, commercial and back-office work.

Customer Service & Support

Answer routine contacts and escalate the rest, with AI customer service agents.

  • Enquiry triage and routing
  • Answers to common questions
  • Order, job and delivery status
  • Bookings and reschedules
  • After-hours enquiries
  • Escalation of complex cases

Sales & Marketing

Reply to enquiries within minutes and book the meeting, with AI sales agents.

  • Lead capture and routing
  • Lead qualification
  • Meeting booking
  • Quote follow-up
  • CRM updates
  • Nurture sequences

Finance & Back Office

Turn invoices and forms into structured data, then reconcile, claim and lodge, with AI back-office agents.

  • Invoice data extraction
  • Accounts payable
  • Reconciliation
  • Claims and rebates
  • Compliance lodgements
  • Unbilled work checks

Operations & Systems

Keep CRM, quoting and accounting data in sync, with AI workflow automation.

  • CRM-to-accounting sync
  • Quote-to-job handover
  • Approval routing
  • Task assignment
  • Data entry and system updates
  • Exception alerts

Start where the volume is. The best first use case is the task your team repeats most, with a result you can measure.

Example: Renewable Energy Claims

Renewable energy is our deepest sector experience. When a solar install is signed off, the agent assembles the STC claim and connection application from the job record, checks every document and serial number is present, and routes anything missing to the person who can fix it before lodgement. It is judged on days from installation to claim paid. See AI for Solar & BESS Installers

  1. Install signed off
  2. Job record
  3. Documents + serials checked
  4. STC claim
  5. Connection application
  6. Claim lodged

Measured in days · install to claim paid

FAQs

AI Automation Services: Common Questions

01How long does an AI automation project take?

A typical engagement runs 8–16 weeks from assessment to a working automation in production. The AI Readiness Assessment takes 2–3 weeks; the build depends on the systems involved and the state of your data.

02How much do AI automation services cost?

Cost depends on systems integrated, exception volume, data clean-up, platform and model usage, and monitoring. The assessment sets the scope before you commit to a build. Get a scoped estimate.

03Do we need to replace our existing systems?

Usually not. We integrate the systems you already use, such as your CRM, accounting software and inbox. If a system can’t be connected reliably, the assessment tells you before you commit to a build.

04Who owns and runs the automation after go-live?

You choose. We can run it as a managed service, operating and optimising it with a monthly report against the agreed number, or hand it to your team with the playbook to run it themselves. Either way, every automation has a named owner before go-live.

05What happens when an agent gets something wrong?

Agents work inside guardrails: approval thresholds decide what an agent can do on its own and what goes to a person. Exceptions are handed to a named owner, every action is logged, and errors are reviewed monthly so the automation is tuned rather than left to repeat them. An agent’s scope expands only after it proves itself against the baseline.

06Is our data secure?

Each connection uses the minimum access it needs, credentials stay in your control and every automated step is logged. Where data is hosted, which platforms and models process it and how it is segregated are agreed during solution design, before any build starts, to meet your data-residency requirements and Privacy Act obligations.

07Will AI automation replace our staff?

AI automation removes repetitive tasks, not roles. It changes what your team spends time on: freed hours go to work that needs judgement, and growth no longer has to mean hiring for admin.

08When is AI the wrong answer?

When the process is low-volume or exception-heavy, when the data isn’t ready, or when a built-in feature or a simple rule would do the job. The assessment scores each candidate on value, feasibility and data readiness, and the go/no-go decision exists so we can tell you when a build doesn’t make commercial sense.
